Job Description:

Pennrose is an industry leader in the development and management of Affordable Housing. we are excited to be hiring for a Regional Administrative Assistant for our Regional Office located in Baltimore,MD.

The position provides full administrative support to multiple real-estate developers working as a team at Pennrose Properties. This individual manages all correspondence, files, phones and travel arrangements. Proficiency in Microsoft Outlook and Word, and a working knowledge of Microsoft Excel and PowerPoint are required. Qualifications include maturity, good judgment, professionalism and efficiency. Experience preferred.

Duties and Responsibilities:

Timely preparation of quality correspondence, applications, proposals and reports

Juggling multiple projects and assignments simultaneously with a crisp yet cheerful demeanor and always exercising good judgment

Handling phones, mail and e-mail correspondence with professional efficiency and courtesy

Typing, copying and accurately filing of documents

Setting up and maintaining hard-copy and electronic project files

Maintaining an organized office

Accurate assembly of all RFQ's and RFP's under the direction of the developers

Supporting the demands of the developers' fast-paced meeting and travel schedule

Gracious reception of office visitors

Professional responsiveness to developers' business needs

Discretion in handling confidential information

Commitment to organizational excellence

Maintenance of calendars

Scheduling and coordinating logistics for meetings, balancing options of internal staff with external participants in a timely and diplomatic manner and demonstrating an understanding of the developers' priorities

Maintenance of the Office Outlook Contact Database

Management of travel and credit card expenses

Management of plan reproduction

Management of all office supplies and their organization

Operation of all office equipment

Utilization of UPS, Fed Ex and US Mail accounts and supplies

Complying with all Pennrose Properties personnel policies

Other duties as assigned



Performance Metrics:

Prepare reports, memos, letters, financial statements, and other documents, using word, spreadsheet, database, or presentation software.

Provide reception and office administration support to the Office Manager and other members of the leadership team in line with the Vision, Mission and Values of the organization.

Provide a high level of customer service to internal and external stakeholders.

Contribute to the development of office systems that support rapidly growing services.

In support of the Office Manager, provide efficient and effective communication including managing enquiries and providing support

Comply with statutory requirements where relevant.

Liaise with staff, visitors and contractors.

Adopt a culture of safety and continuous quality improvement.
