POSITION: Office AdministratorBilingual required (English & Spanish) JOB SUMMARY: The office administrator position is responsible for directing and coordinating the day-to-day office operations, including office services, mail and package shipments, and related activities. The individual is responsible for arranging office meetings and any tasks pertaining to operational efficiencies. EDUCATIONAL REQUIREMENTS: Bachelor degree in business or related field is required QUALIFICATIONS AND EXPERIENCE: One to two years of experience in office administration preferred Comfortable using email and interacting with Internet applications Knowledge of word processing, Excel, and electronic medical records software Proven success in supporting staff operations Understanding of healthcare Insurances including Medicare and Medicaid. Ability to perform multiple tasks simultaneously and work under pressure Experience in a fast-paced environment Responsibilities include, but are not limited to, the following: Supports human resources (HR) department with overseeing and evaluating employee performance Assists HR with recruitment, discipline, and termination of all front and back office staff, radiology technologist and therapists. Works with HR to meet with staff on a monthly or bi-monthly basis to guide opportunities for improvement in operations Provides in-service to staff regarding insurance requirements Monitors overall workload and distributes work accordingly Monitors and responds to time off requests. Coordinates and ensures coverage for all tasks in the case of vacations and/or sick days, and fills in when needed as front line staff or operational flow oversight Monitors time card system for employees to ensure proper payroll submission Exemplifies and sets an example of company values for all employees Operations and Management Performs quarterly audits when assigned Meets with Medical Director/ CEO when needed to discuss issues or ideas for improvement Maintains knowledge of the operational details of all key positions for Orthopaedic/ Sports Medicine and Physical Therapy practice. Seeks and recommends ways to use technology to improve operational efficiency Initiates modifications of all procedural paperwork when appropriate Daily supervision of the front desk/reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities Negotiates the purchase of office supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions Supervises the maintenance of office equipment, including copier, fax machine etc. Responsible for the facility's day-to-day operations and clinic flow Participates as needed in special organizational projects Coordinating physician and therapist schedules Interacting with multiple vendors Ensures the office and staff function properly under HIPAA and OSHA guidelinesCompetencies.
